What is Content & User Management for Cloud Jira?

  • User management is a task that should be done regularly, but it's not always easy to remember to do.

  • It's a hassle to figure out who to disable, especially if your organization is large and project team members change from time to time.

  • Automating user management on a regular basis by checking for inactive users makes it easier to handle and allows you to focus on other tasks, increasing your productivity.

  • It also allows you to manage people who have left the organization or are inactive.

 

Who can use Content & User Management for Cloud Jira?

  • JIRA administrators can use this App.

  • Automated User Management App

  • Identify target disable users using configurable base date. Set a schedule to regularly run actions automatically

  • Deal with your user management easy: Automatically and systematically.

 


 

Configuration

  • To install App, go to Manage apps find Content & User Management for Jira applications:

  • To configure Content & User Management, go to Administration - User management - click on "Configuration"

  • On the Configure page, you can set your organization API key and other information to enable the feature.

 

 

App Setting

  • In Setting Info, you need to enter the required values.

  • You must enter the required information before you can connect your Jira Cloud instance and manage Atlassian Organization users.

 

1. Admin API Keys

  • Admin API key : To connect the app to your Atlassian instance, you need information about the API key generated in the Atlassian admin interface.

    • go to the url admin.atlassian.com and click Setting > API keys menu.

    • click the Create API key button

    • Enter the API key Name and Set the Expiration date.(maximum 1 year)

    • Copy your API key and Organization ID (This key can visible once in this page.)

  • Enter your API key to Admin API key, key name and Expiration date

 

 

2. API Token

  • API Token : To get information about groups and more from your app, you need the API Token and user Email information.

  • User Email : The user email that created the API token

 

 

  •  Get API keys

    • go to the url admin.atlassian.com and click Setting > API keys menu.

    • click the Create API token button

    • Enter the API token Name and Set the Expiration date.(maximum 1 year)

  • Enter your API token to Access API token, token name, Expiration date, and user email.

User Management

 

 

1. Group Management

- Manage Users, Groups and Schedulers.

 

Administrator can add/remove users With License-Access-Groups, which are groups where Jira is added as a product.

 

  • Button Description

    • New Group: Create New Group

    • Set License-Access-Group: Setting the License-Access-Group

    • Add User to License-Access-Group: Add Users To License-Access-Group

      • Move users from a specific group by moving them to License-Access-Group.
        However, the users are moved to the License-Access-Group exactly the same.
        Therefore, if a Jira product is added to a group that the user already belongs to, you will need to manually remove the user from the existing group after moving them to the License-Access-Group to unify their Jira access groups.

    • Remove User From License-Access-Group: Remove User From License-Access-Group

      • Remove users who are members of the License-Access-Group group from the group.

 

 

(1) New Group

Admin User can create a New Group.

  • input the New Group Name

  • New Group Name

  • The number of product licenses currently remaining for the Jira product and the
    the number of Jira licenses currently in use,
    total number of licenses.

  • Below you can see the groups to which your Jira Software Product has been added.

  • In new group, enter a name for the new group and click the Create group button.

* Add Jira Software to License-Access-Group

 

 

  • Add product Jira to the group specified by License-Access-group.

    • In Group product access, click the Add product button.

(3) Set Users To License Access Group

  • Enter the Action License Target Group Name

  • When Admin User enter an action license target group name, Admin User will see a dropdown list of
    groups from the dropdown and select the group you want to move the user to.

  • At the bottom, the user information of the selected group is displayed in a table.

  • To move all of those users to the group you specified as License-Access-Group, click the
    Click the Action button at the bottom.

2. User Management

In the Manage Users feature The actions of checked users apply to the license access group.

  • Button Description

    • Add User: add to Liscense-Access-Group

    • Remove User: add to Liscense-Access-Group

  • Admin user can add users to groups by searching for them in three different search types.

    Select Users, Groups, or Administrative Accounts as the search type, enter a user in the keyword field, and then click the Search button.
    Check the user's checkbox in the search results and add or remove them from the License-Access-Group.

     

    • Select Search Type User name

      • set the search Type Username, Enter Keywords and click the search button.

  • Select the search Type Managed account.

  • A list of managed accounts appears in the table.

3. Auto Management

  • Admin User can set login thresholds for automatic user management.

  • Automated management only applies to managed accounts and can be managed by creating a scheduler.

  • New Scheduler button: Click the new scheduler button to create a scheduler for automatic user management.

  • name : scheduler name

  • execution time: Set the time that the scheduler will run each day.

  • Deactivation Base Days : Last login criteria for removal from groups using Jira productsDate

  • Run On / OFF : Scheduler ON of OFF

 

 

 

  • Once the scheduler is created, it is added to the table, and you can create one scheduler for auto user management.

  • Scheduler details and executed records appear in the table.
